Introduction
Safe Communities Canada has adopted a privacy policy which conforms to Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) This act, which came into effect in 2004, in concert with any applicable provincial legislation, establishes principles governing the collection, use and disclosure of personal information in Canada.

What is Personal Information?
Personal Information includes any factual or subjective information, recorded or not, about an identifiable individual. This includes information in any form, such as:
- age, name, ID numbers, income, ethnic origin, or blood type
- opinions, evaluations, comments, social status, or disciplinary actions
- employee files, credit records, loan records, medical records, references or intentions
The name, business title, business name, business phone number, and e-mail of an employee of an organization is not considered to be private information.
Why We Collect Personal Information
Safe Communities Canada collects Personal Information only for the following reasons:
- To provide the products or services that participants and stakeholders have requested and maintain business relations with participants and stakeholders;
- To understand participant and stakeholder needs and to recommend products, information, and services accordingly;
- To manage our business, which includes employment matters;
- To meet legal, statutory and regulatory requirements.
We also collect information, such as your I.P. address, referring URL, and the date and time of your visit in order to operate this web site. This information is for the use of Safe Communities Canada only, and we may use it to diagnose server problems and administer the website. Any information we collect to operate this site will not be broadcast or re-sold.
Conditions of Collection
We will not use your Personal Information for any other reason without your consent.
We do not collect any personal information about you unless you provide it to us. For example, if you request to have a guide, poster, or other promotional material mailed to your business or residence, we ask that you provide your name, e-mail address, phone number, and mailing address to accommodate your request. In addition to filling your order, one of our staff members may follow up with you by phone or e-mail to discuss your interest in receiving further information about Safe Communities. Your e-mail address will also be added to our electronic newsletter distribution list (quarterly distribution) and our conference mailing list (annual mailing). If you do not wish to be contacted in this manner, please ensure that you indicate so while placing the order. We do not share our mailing/distribution lists with any third parties.
Obtaining Consent
We obtain consent before the collection of Personal Information.
Limiting Collection
We will collect Personal Information only where it is necessary for valid business purposes. We will collect the Personal Information we need only for the stated purpose.
Limiting Use, Disclosure and Retention
Unless plainly apparent, the purposes for which Personal Information is being collected will be identified at or before the time that the Personal Information is collected.
Personal Information will not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual involved or as required by law. Personal Information will be retained only as long as is necessary for the fulfillment of the purposes regarding which it was collected.

We keep our participants, stakeholders and our employees informed of our policies and practices surrounding the management of Personal Information.
The Personal Information that Safe Communities Canada keeps will be kept as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used. We will give individuals reasonable access to their Personal Information and correct any Personal Information if its accuracy and completeness are challenged and found to be deficient. (There are limited exceptions to this, which are set out in the PIPEDA legislation.)
Using Appropriate Safeguards
Any Personal Information collected by Safe Communities Canada will be kept private and disclosed to staff and/or third parties on a need-to-know basis only.
The Safe Communities Campus
The Safe Communities Campus is the on-line training portal of Safe Communities Canada. In the process of registering participants in courses, we will be collecting personal information. The following provisions outline how we will address privacy issues on The Safe Communities Campus:
Information, Collection and Use
Safe Communities Canada is the sole owner of the personal information collected from the campus. We will not sell, share, rent or in any other manner provide this information to others without permission.
Registration
During registration, we require the user to provide contact information. (Name, e-mail address etc) We will use this information to provide e-mail alerts and to provide the users with information about services on our site which may be of interest to them.
Log Files
We use Internet Provider addresses to analyze trends, administer the site, track users’ movements, and gather broad demographic information for aggregate use.
Links
This privacy statement applies only to information collected by Safe Communities Canada. The Safe Communities Campus contains many links to other web sites in Canada and around the world. Safe Communities Canada is not responsible for the privacy practices of those other sites. We urge users to read the privacy policy of all third party sites before they provide any personal information requested on those sites.
Newsletters
If a user wishes to subscribe to newsletters which we may prepare, we will require standard contact information (Name, e-mail address etc).
Surveys and Contests
Occasionally, Safe Communities Canada may request information from users for surveys or contests. Participation in these surveys or contests is completely voluntary; therefore, the user has a choice regarding disclosure of personal information. If a user chooses to participate in a survey or contest, he or she will be asked to provide contact information: name, e-mail address and an address for delivery (if required), and demographic information: home postal code, age gender etc. We will use contact information to notify winners and award prizes; we will use demographic information for research and development; we will use all information from surveys and contests to research and improve the functionality of the site.
Notification of Changes
If Safe Communities Canada decides to change our privacy policy, we will post those changes on our home page. If, at any time, we decide to use personal information for a purpose that is different from the one we defined when we collected it, we will notify users by e-mail of this change, and offer them the choice of permitting or refusing the proposed new use of their personal information.
Downloads
Many of the courses on The Safe Communities Campus will offer a download facility to participants who will be able to access such things as case studies, research articles and presentations in a format appropriate for printing. Safe Communities Canada requests that course participants observe copyright restrictions and credit the authors as requested.
